Will the current software be compatable with stuff in 25 years time? It is not 25 years since the Sinclair Spectrum let alone DOS and Windows3.1
Should it all be printed and stored as paper/microfilm etc? assuming we do not forget how to read or a standard European language has not taken over.


My spelling is not bad. I am typing this on a Medigenic keyboard and I blame that for all my typos.

The '11 years' quoted in DB9801 relates to the legal angle - a case may be tabled in law, up to 10 years AFTER an incident occurrence. The additional year is the time allowed to bring the case, should it be tabled on the 10 year deadline.

In the context of medical devices, most are in use for 7 to 10 years, with many a lot longer than that.

Records therefore need to e maintained for those devices for 11 years beyond the date they were disposed of (at least 18 years).

I go along with Roy on this one - Archive everything ....DOCUMENT,DOCUMENT,DOCUMENT because the legal view is;
Poor documentation = Poor defence
Good documentation = Good Defence

Hi all,

To give you some background I am the E-Mat System Administrator for Dewsbury District Hospital and have helped with the development of the system.

With regards to deleting equipment from the scrap file, may I stress that this is only possible if an entry has not had any service history logged against it and was introduced to the system at my request purely as a way of deleting wrong entries made whilst trying to populate the database from scratch with new data. After all we are all human and mistakes will and can be made in this process so certain steps are made to ensure that it is not abused, let me explain;

To make this a 'SAFE' exercise you have to go through several levels of security.
1. Firstly on your login ID you must have permission to scrap equipment.
2. You then must have permission to view the scrap file.
3. Lastly additional permission to delete from the scrap file.

All this combined with a refusal of the system to delete anything if any service history exists for the equipment I think is adequate security.

A database is only as good as the people who are using it and if someone was to abuse the level of security employed in the system then there is no point in using it all.

The levels of security employed in E-MAT are very comprehensive and customisable allowing system administrators to setup multi-profiles for individual groups of technicians, hence permissions for the above can be assigned to a designated responsible person.

For those using the E-Mat system;
Can you advise are there any running costs of the system? That is paying for upgrades? or support and maintenance? cool

We use Emat. The contract covers most of the costs unless you want something drastic re-writing. Best to speak to Barwick as I understand they have different cost structure for each site.

Without actually digging out the figures the yearly support costs for us is around £1500. This includes upgrades, support etc. Maybe we're still in the honeymoon period but I must say so far I have found Barwick very quick in responding to any queries or problems I might have.

We are in the first week of going live. All our assets have been transferred into EMAT by Barwick without any hickups.
I'm really not used to things going quite so smoothly. Everyone, including managers, are merrily using EMAT which really does make a pleasant change. Will post any developments, good or bad, after everything has bedded down.

Enhancements include:

* Job Card is now maintained via an MSWord template. This is optional, the user can still use the old way if desired, by renaming/deleting the jobcard.doc file from the templates maintenance section.
* Service history entries now have an outcome attached which can be reported on using the work done report.
* E-MAT now loads even faster!
* The main sections now open to match the main form. i.e. if the main form is maximized then the jobs section will open maximized.
* Serial number search added to scrap section.
* Equipment number and log number search on ‘sent to supplier’ jobs screen.
* Reset button added to the overdue ppm letter screen.
* The replacement due report can now be ordered by replacement due.
* The maintenance section has been divided into 2 menu’s for ease of use.
* When the software locks it now displays a full screen to hide any data that may be seen.
* There is now an inventory button in the notices section which jumps to the inventory and filters the list based on the currently selected notice.
* Tweaked the inventory details layout so that monitors running 800 x 600 can see everything with no problems.
* Excel button added to the ppm management screen.
